SUMMER OCDA BOARD MEETING
July 20, 2004 Steve Curtis’ home Norman, OK President Steve Curtis called the meeting to order at 7:10pm. Members present: Stacy Weger, Julia Haley, Justin Ediger, Carolyn Wilkins, Stephania Abell, Peggy Shelby, Gail Simpson, Tony Gonzalez, Beth Birkenbile, Bill King, Steve Curtis, Jo Ann Struck, Jan Hulsey, Suzanne McDaniel, Andria Phillips Members not in attendance: Susan Mueller, Brent Ballweg, Bill Green MINUTES Minutes of the March meeting were read and corrected. (Peggy Shelby gave the Jr. High All-State Choir report; not Lynnette McKeithen.) TREASURER’S REPORT An informal treasurer’s report was jointly presented by Jan Hulsey and Beth Birkenbile. A full report will be published in the next Sooner Style. Audits and the annual report to the national ACDA office will be completed in August. Points of interest: OCDA currently has $21,000 in the checking accounts; the OCDA convention is not self-sustaining. Approximately $10,000 from CD investments annually are used to subsidize the convention in order to keep it affordable for the members. Steve Curtis led the board in expressing thanks to Beth Birkenbile for acting as secretary/treasurer during Jan Hulsey ’s leave of absence. JUNIOR HIGH HONOR CHOIR REPORT Peggy Shelby gave the Jr. High Choir report. She is in process of rewriting the rules for the choir. She has asked all the past chairs to review her amendments. The consensus of the board was that a committee of past chairs (Peggy, Justin, and JoAnn) should make any rule changes necessary, then post those changes on the website, along with the revised registration forms, etc. The board did recommend that the rule regarding the audition "cut" be revised to eliminate the need for the choir chair to be present when the cut tape is made. Peggy reported that all forms are now on a disc and job descriptions are in place. JoAnn suggested that the All-State music be selected by a more diverse committee which should include teachers from both large and small schools, rural and urban, 7th and 8th grade schools as well as schools with only 9th graders involved. ALL-STATE WOMEN’S CHOIR REPORT Gail Simpson reported on the All-State Women’s Choir. Dr. Debra Spurgeon has been secured as the 2005 clinician. Ron Wallace has been asked to accompany, but no response as of this meeting. The area music vendors have the music list. A new chair-elect is needed to replace Paul Graves. We also need a 3rd chair committee member. The board recommended Peggy check with the following: Carolyn Daugherty, Laura Cowan, Louise Slinkard, and Tricia Powell Gail will order the All-OCDA patches and medals, and obtain the OCDA Women’s roster from Connie Tate at the 2nd OMEA audition. As per past board minutes, all audition and registration money and acceptance letters are to be sent to Jan Hulsey, with ONE check per school. ALL-OCDA JAZZ CHOIR REPORT Justin Ediger expressed concern over a questionnaire published in the spring issue of OK Music. The questionnaire sought input on the possible addition of an All-OMEA Women’s choir to the Tulsa convention. This is in direct opposition to the information the board received in January from OMEA president Janice Dawson. Steve Curtis volunteered to contact Janice and investigate the matter. Concerning this issue, JoAnn recommended a written contract (5 or 10 year) with OMEA delineating the OCDA/OMEA relationship re the Women’s Choir. Steve will ask for OMEA’s minutes recording the original agreement to provide the women’s choir roster to OCDA. Jennifer Shelton Barnes has been secured as the 2005 jazz clinician. Dave Bardoon will be the 2006 clinician. Stephania Abell suggested that we toughen the jazz audition and recommended checking with other states to ascertain their jazz audition procedures. SOONER STYLE Steve Curtis gave the report for Brent Ballweg. Brent requests personal information from new members, and articles for the upcoming issue. He also gave a synopsis of the fall issue. Steve will send postcards correcting the OCDA festival dates. The dates printed in the convention program were incorrect. CONVENTION REVIEW Questions were raised regarding shortening the second afternoon schedule. Some members expressed a desire to adjust the schedule to allow K-12 teachers to attend the Circle The State, the OCDA, and the OMEA reading sessions. The vendors recommend the last Monday exhibit time be programmed at 3:15-4:15pm, and that the Tuesday vendor closing time (3:00) be posted in the program. (The vendors reported a very successful convention.) The door prizes received very favorable comments. The board suggested that all names be eligible for the big prize, but that small prizes be limited to one per person. ELECTION OF NEW OFFICERS Steve asked that the board bring to the fall meeting, recommendations for the following offices: Jr. High , Elementary, Northeast, Southwest representatives, and President-elect. JoAnn will then contact the candidates. FALL MEETING The board will meet again on Thursday, October 21, 2004, at 1:00pm, at Mustang High School. Stephania Abell will send maps and information to members and arrange for a catered lunch. OLD BUSINESS Justin Ediger reported that the $600 per unit allotted to purchase laptop computers was insufficient, and moved to amend the original motion to allow a maximum of $1500 per computer and $300 for a printer. JoAnn Struck seconded the motion, which past unanimously. Jan Hulsey informed the board that a certificate of deposit matures in August, making funds available for such a purchase. Jan Hulsey moved that the high school representative contact the publishers of the All-State music concerning the purchase of a mechanical license. This would bring us into compliance with copyright laws when we create and sell the rehearsal CD’s. Peggy Shelby seconded. The motion past unanimously. Beth Birkenbile moved that OCDA compensate Mark Powell for handling all the rehearsal CDs money and recording keeping. An amount of $300 annually was seconded by Steve Curtis and approved by the board. NEW BUSINESS Steve announced that Bill Green will serve as the OCDA church representative. Stacy Weger reported on several ideas coming out of the university roundtable: Regular e-mail between university members. An all-college choir or choir festival. An Oct. 16 directors’ meeting. Keep concerts and events posted on the OCDA website. Stacy asked about seed money for establishing a college festival. Tony Gonzalez recommended contacting John Gafford at the national office. Julia Haley reported these topics of discussion at the elementary roundtable: Names for future clinicians. The need for more publicity for the convention. (JoAnn recommended that in addition to the information in Sooner Style, fliers be sent to all members prior to the close of the school year. Tony will provide copies of fliers used in previous years.) Members will continue to bring children for demo. choirs. Information about the Oklahoma Center for Arts Education should be included in Sooner Style. Tony will ask the Center to send material to Brent Ballweg. Bill King, high school representative, hopes to involve more directors from the southeast and the west sections of the state. Possible clinicians for the 2005 convention mentioned were Paul Salomonovich, Rene Clausen, and perhaps the All-State Jr. High Clinician. It was also suggested by board members that some sessions be repeated and that the introductory session be shortened. The Jazz Singers will be discussed at the October meeting.
