OCDA Board of Directors Meeting Minutes
April 12, 2008


The Spring OCDA Board of Directors Meeting was called to order by President Brent Ballweg at Southern Nazarene University, Bethany, Oklahoma.  Members who were present were: Kelly Martin, Ruiel Doonkeen, Tracy Watson, Mark Powell, Paul Graves, JoAnn Struck, Ramona Cummings, Darla Eshelman, John Gerber, Carisa Schreiner, Charla Dedmon, Brent Ballweg, and Barbara Myers

Minutes of the January meeting were read and corrected.  Carisa Schreiner moved that the minutes of the January meeting be accepted.   JoAnn Struck seconded the motion.  Motion carried.

The Summer Board Meeting will be July 13, 2008, at 3:00 p.m. on the SNU campus.  There will also be a “wrap-up” meeting following the convention.

Treasurer Ramona Cummings reported that we have $42,534.72 with a few bills yet to be received.Ramona suggested that we do mileage like OMEA.  She also said that we need to update the lap top and laser printer.  A go-ahead was given to get new lap tops for Jazz and the Treasurer if it can be done for #3,000.00 or less making them available at the summer convention.  Darla Eshelman moved to accept the treasurer’s report.  Tracy Watson seconded the motion.  Motion carried.

Sooner Style editor John Gerber reported that there is a $2,000.00 problem if we leave the constitution and proposed revisions in the publication as well as the convention schedule.  The convention schedule is also posted on our web page.  Mark Powell needs form for the rehearsal CD’s for All-State choirs.  The bio.’s for the convention speakers are also needed.  Darla Eshelman moved to accept the Sooner Style report.  Ramona Cummings seconded the motion.  Motion carried.

Next we discussed the 2008 Convention. Each time and topic was reviewed and a few changes were made to improve the availability for those attending the convention.  The final schedule is to be on our web page.  Reading Session selections are to be to John at Penders by May 1.  Julia Haley is the CTSWS coordinator.  Music selection for the Conductor’s Chorus is to be to Krista at Senseney by May l with session titles confirmed ASAP.  Several names were mentioned for accompanists for convention.  Vendor lists are to be given to JoAnn Struck.  We will continue with door prizes as usual.  Everyone on the board is to bring at least one.

The 2009 Convention will be July 19-21, 2009.  Elena Sharkova (tentative) could direct the conductor’s chorus, have a Russian session and do the college reading session.  We discussed having a church emphasis with maybe a church convention choir, like the Singing Churchmen directed by Bill Green.  Howard Helvey could have sessions on worship services, organ, and  reading.  Maybe Brad Henderson would do the contemporary in a conventional/contemporary setup.  Helen Kemp and Neva Haley with also mentioned.  Venita McGorman and Hart Morris (handbells) were also suggestions.  “Choral Charima: Singing With Expression” led by Tom Carter could be another clinician.  First Presbyterian might be a possible location for the convention. 

Constitution revisions were reviewed article by article. Necessary changes and additions were worded and recorded. Ramona Cummings moved that we approve and recommend the revisions to be voted on at the General Business Session during the 2008 convention.  JoAnn Struck seconded the motion.  Motion carried.

NW candidates for the OCDA Board are Gail Simpson and Barbara Myers.   SE candidates are Darin Chapin and Deborah Clements. 

Jan Smith submitted a very complete written report of the All-OCDA Women’s choir, Junior High Choir and Jazz Choir.  Rehearsal Rooms were excellent and the clinicians thought the students were well prepared.  Applications will be sent to Ramona Cummings.  All agreed that having the Board Meeting after the general meeting in January was a very good idea.

The 2009 All-OCDA Festival will be January 15-17, 2009.  The clinician will be Kerry Marsh from California State University - Sacramento.  The Junior High clinician will be Charles Robinson from UMKC with Julie Clifford accompanying.  The 1st round of auditions will be the same quadrants as OMEA High School.  The location will also be the same, but we will have our own quadrant chairs.  They are as follows: 
NE-Linda Pollock
SE-Stephania Abell
NW-Rachel Thomas
SW-Kelly Martin.
The date for 1st round is Nov 1.
Glenda Casey will be the clinicians for the 2009 Women’s Chorus with Dr. Chapman as back up.  The pianist for this choir is not finalized.  The location for the 2009 All-OCDA choirs will be the same as last year with the same fees.  Contracts with the Renaissance and Marriott Courtyard are in effect and confirmed at $144.00/quad.  We have requested a reservation code to eliminate schools over bookings and failing to cancel. The final audition will be Nov. 11, 2009. 

The schedule for HS OMEA and OCDA JH Audition CD production is as follows:
May1-all pieces to the CD producer
June 15-all preview CDs to coordinators for checking
July 1-CDs ready for distribution
The schedule for OCDA HS Women’s music and Jazz is as follows:
July1-music to CD producer
September 1-copies of CDs sent to coordinators for checking
October 1-printed CDs ready for distribution.
David Hillis will be producing the Jazz CD, and Kevin Zinn the JH and Women’s CDs.


Again pros and cons of moving Jazz to OMEA convention were voiced.  There is a possibility of creating a JH Treble Chorus pending on OMEA and the Women’s Chorus moving.

Ramona stated that all deadlines must be the same on applications.

Ramona Cummings moved to adjourn and Ruiel Doonkeen seconded the motion.  Motion carried,
