OCDA Board of Directors Meeting Minutes
July 13, 2008
Southern Nazarene University, Bethany, OK


The Summer Convention OCDA Board of Directors meeting was called to order by President, Brent Ballweg, at Southern Nazarene University, Bethany, Oklahoma.

New board member, Darin Chapin, and past Jr. High Chorus Chair, Marjolene Gravely were also present for the meeting.

Minutes of the April 12, 2008, meeting were read, corrected and duly approved.  ________________ moved that the minutes of the April meeting be accepted.  __________ seconded the motion.  Motion carried.

Dates and sites for Board meetings for 2008-2009 are as follows: 
·        Summer Convention: July 13 - 3:00 PM, SNU and conclusion of the convention.
·        Fall: October 16 - 1:00 PM, WesternHeightsHigh School, OKC
·        Winter: January 16 - 2:00 PM, CoxConvention Center, OKC
·        Spring: April 18 - 10:00 AM, SNUFineArtsCenter, Bethany

A modification to the 2008 Summer Convention was the re-scheduled membership business meeting moved to July 15, the last meeting date.  At this time the Constitution revisions will be brought before the association for clarification and approval.  Copies of the Constitution with changes indicated by red highlights made available.

Ramona Cummings reported that we have $38,595.14 balance.  She also stated that invoices should be dated after 7-1-08for the new physical year.  She requested to delay ordering anything until after this date.  New laptops have been approved for purchase. Suggestions to apply for grants to purchase computers, software and other technology were presented.

It was reported that news articles should be sent to John Gerber at gerber@fbcweatherford.com  The deadline for the next Sooner Style was changed from July 15 to July 21.

Brent requested some members serve as host to guest clinicians.  Assisting the clinicians in this manner will be:  Powells - Brent and Stacy; Phillips - Randa and Susann; Oppenheim - Trace and JoAnn; Rosfeld - Brent.  Clinicians should be reminded to keep all receipts or the board member pay and be reimbursed. 

JoAnn, Past President, was in charge of contacting and assisting the vendors.  They were provided ample space for their displays and the convention schedule allowed the membership ample time to visit the merchants.
 
Each board member was provided a folder that contained convention format and programs.  All board members would preside over a session and introduce the clinicians.  They would also need to turn in the tally forms after each session, collect membership tickets and draw for prizes.  Prizes were provided by the board members and either purchased or acquired through donations.  Charla would be in charge of this task.

It was proposed that the 2009 Summer Convention dates be moved from the customary Sunday to Tuesday days of the week to Monday through Wednesday, July 20-22, 2009.  This decision was favorable to all and would be presented to the membership.   

Another topic of discussion concerning the 2009 convention was the intent to focus on membership in the area of the Church. A concert setting with Bruce Greer at First Baptist Church, OKC, was suggested.   Mark and Brent will work together on this project.  Other possible sessions of interest and presenters were: worship service, church reading session, CCC (Howard Helvey); hand bells demonstration/performance (Hart Morris); and Howard Helvey, Helen Kemp, Venita McGorman, and Joseph Martin.

To add to next year perhaps the Singing Churchmen, Mennonite Churchmen, and Annie Moses - entertainment (Julliard Students) could be included in the summer convention church theme.

Other clinicians/sessions/locations brought before the board were: Tom Carter - “Choral Charisma: Singing With Expression”; Joe Miller - Westminster Choir College; Stephen F. Austin; Joan Wall - TWA; and former OSU choral director, Dirk; Southern Hills Baptist Church; OKC First Presbyterian and First Baptist.  The motivational speaker, Paul Golsvig, a former high school music educator and football coach, was a possibility for keynote speaker.

A vote to approve the constitution revisions by OCDA members would move the organization toward the ultimate ACDA goal for OCDA to have in place R & S (Repertoire & Standards) delegates to better serve the organization.  R & S positions and possible candidates for 2008-2010 were recommended.  Board member needs for 2009-2011 were also suggested.

A major part of the board meeting consisted of Junior High Chorus, Women’s Chorus, Jazz Chorus and Junior High Treble Chorus matters.

·        The All-OCDA Jazz coordinator for 2010 was not decided upon at this time.  However, five equally qualified people will be considered for this position. They are Ginger Meyer, Lori Daubenspeck, Becky Martin, Stephania Abel and Linda Pollock.  After a time Doug proposed to table the issue of moving the All-OCDA Jazz Choir to the OMEA site in Tulsa.

·        The All-OCDA Women’s Chorus chaired by Paul Graves will have Glenda Casey as the guest clinician.  Due to her health condition and the question as to whether or not she will be physically able to fulfill this commitment, Dr. Chuck Chapman, graciously consented to be available if needed.  Barbara moved and Ramona seconded the motion to confirm the All-OCDA Jr. High Women’s Chairs to be 2010 Connie Coleman and 2011 Jeanine Gully. 

·        Elementary - Darla reported that the 4th - 8th grade Children’s Choir Festival has been very successful the past two years.  It is a non-competitive choral setting that uses the original festival format.  This year the clinician for the April 5. OCDA sponsored festival was Cristi Miller.

·        Junior High - Connie Coleman was selected for the All-OCDA Jr. High Treble Chorus chairman.  The motion was made by Ramona and seconded by Barbara.  The Treble chorus will be formed and presented in concert in the year 2010

·        The All-OCDA Jr. High Choir will have preliminary auditions for treble voices.  Auditions will be held the same Saturday, Nov.1, 2008, that the All-OMEA State Chorus has try-outs.  The division of quads will be defined as will guidelines involving the audition process and directors participation.  The board was most emphatic that all choral directors that have entered students in the auditioning process are required to work on those designated days.  Failure to do so will constitute action that would lead to the dismissal of the school’s participants. .  Darin made the motion and was seconded by Ramona All-OCDA Jr. High Mixed Chorus will be 2010 Nancy Murray and 2011 Rebecca Lindley

·        College - Stacy reported that the college organization continues to grow and some changes may be made in the site and meeting dates.  Confirmation will be given at a later date.

An issue not on the agenda but was brought before the group under New Business was the problem of availability of rooms and difficulty with securing hotel reservations in OKC.  It was stated that no reservations would be accepted before November 19, 2008.  Measures would be taken to assure that rooms would be accessible.

Motion was made by Stacy Weger and seconded by Doug Woolery and approved that if there was no further business at hand the board would adjourn.
