OCDA Board of Directors Meeting
October 16, 2008 Western Heights High School, OKC 1. President, Brent Ballweg, called to order the annual October OCDA Board of Directors meeting at Western Heights, OKC. Brent also introduced the new members. Members present were: Kelly Martin, Ramona Cummings, Carisa Schreiner, Barbara Myers, Paul Graves, Darla Eshelman, Randa Mitchell, Doug Woolery, Stacy Weger, Tracy Watson, Mark Powell, Darin Chapin, Ruiel Doonkeen, Kim Childs, Charla Dedmon, Casey Cantwell, Wes Singleton, & Brent Ballweg Minutes of the July 13, 2008, Summer Convention OCDA Board of Directors meeting were read, corrected and approved. Motion by Ramona Cummings and seconded by Carissa Schreiner Corrections were: July 13, 2008, Treasurer’s report amended to $44,375.83 Revised spelling of fiscal, members names - Dirk and Doug R & S Delegates titles changed to Chairs Business Meeting Minutes were approved as read. Motion made by Ramona Cummings and seconded by Darla Eshelman Dates and sites for Board meetings for 2009 are as follows: Winter: Friday, January 16, 2009 - 2:30 PM, Business Meeting, Room TBA, Cox Convention Center, OKC Spring: Saturday, April 18, 2009 - 10:00 AM, FBC, 12th and Robinson, OKC (Specific directions will be provided at a later date.) Summer: Monday through Wednesday, July 20-22, 2009 (Monday after lunch until Wednesday noon.) Point of Interest - The area of emphasis for the Summer Convention will be the CHURCH/COMMUNITY choirs. Suggested concert setting with Bruce Greer at First Baptist Church, OKC. Mark Powell and Brent will coordinate this emphasis. Treasurer’s Report/Business: Ramona Cummings provided each member with an OCDA Balance Sheet as of October 15, 2008. The present balance was $38,595.14 with outstanding entries to be collected. Ramona informed the board that four laptops and one printer were purchased for Chorus Chairs to use. Sooner Style: Next deadline will be November 15, 2008 and the issue will come out the first of January 2009. Send information pdf file or attachment to John Gerber’s e-mail - gerber@fbcweatherford.com. 6. 2009 All-OCDA Festival: 6.1 General 6.1.1Quad date for Junior High Treble auditions - November 1, 2008. Final auditions for singers that advanced from Quad auditions and all Tenor and Bass voices and Jazz auditions - November 18, 2008 @ Mustang, First Baptist Church. Concerns: NE Quad Host Ruiel and Doug request for audition screens were approved. They were instructed to contact Ramona for reimbursement for their expense. Important Contact: Stephania Abell sabel@norman for Junior High audition scheduling questions 6.1.2Hotel rooms will not be made available until November 19, @ 8:00 AM. (No code from OCDA not required) 6.1.3Festival schedule for website must be sent to Brent ASAP. One example is the additional lunchtime. Our website will be a useful tool for our organization to provide the membership with needed information and contacts. 6.1.4Festival concert program material must be sent to Brent Items: Concert order Acknowledgements Members of Honor Choruses Three year members Report: Paul Graves has enough three-year medals at this time Need: Independent JAZZ medals 6.1.5Other - Doug and Tony Gonzalez will work with Stephania and Kelly Martin to eliminate major concerns for any scheduling conflicts involving all connected with Jazz and JH Chorus auditions. FORMS:Kelly will distribute T-shirts, DVD/CD, VIA Media forms Check with Bill Perring for the percentage OCDA receives from the Plaques and T-Shirts sold independently Addition to forms: Sex - M___ F ___ designated on forms for mixed songs at auditions Brent will propose to membership in January that all boys will go to the mixed chorus and every other girl to treble chorus. Proposal: Due to the large number of girls that audition (1300 were scheduled for 2009 chorus) 28 for each voice part for JH MIXED and 28 for each voice part for TREBLE VOICES. *Note - OMEA takes 25 for each voice part for SATB chorus and the next 35 women’s voices for SSAA chorus 6.2 Jazz Chorus Coordinator - *Coordinator will be added to each Honor Chorus title. Tony Gonzalez and Ruiel Doonkeen will assist Doug Woolery 6.3 Junior High Chorus Coordinator - $20 per name plus $100 will be assessed to add names to forms. It was requested that all forms be available on line and in fillable forms. Brent will work to make the changes for future use. 6.4 Women’s Chorus - Instrumentalist needed --- French horn, Cello, 2 Violinist, Oboe, Percussion --- Stephania Abel will make contact 6.5 2010 and 2011 Festival Coordinators - It was proposed that the 2009 Choir Coordinators remain in choir position as a mentor. Jazz - It was recommended to wait until before Round 2 (Final) auditions to do schedule 2010 suggested possibilities for Coordinators: Ginger Meyer, Lori Daubenspeck, Becky Martin, Stephania Abel, Linda Pollock JH Mixed- Nancy Simpson Murray (2010) and Becky Lindley (2011) - Barbara moved/Ramona 2nd - approved JH Women’s Treble Choir - Connie Coleman (2010) and Jeanine Gulley (2011) - Darin motion/Ramona 2nd - approved Duties need to be defined which would include selection process for choir 6.6 and 6.7 Future Clinicians - Suggest names were voiced. Some clinicians voiced were: Stephen DeMorest, University Washington (2010) -JH Women’s Chorus Jazz - Check with Ruel for suggestions for possible director suggestions. Ken Krantz --- SMP Jazz Music Company Lynn Gackle contact information may be obtained from Janis Dawson for the JH Treble Chorus 6.8 Other - All College Festival - Kim Childs - Jo-Michael Schiebe - Clinician, USC in Tulsa, Trinity Episcopal Church. It will be a 2 day event with 8 or 9 pieces to perform. March 27-28, 2009 @ 3:00 PM. All the information is on the website. 7. Discussion over Area Representatives and R&S Chairs was led by Brent 8. Darla Eschelman NE Representative - Ginger (Skiatook), Tonya Ruddick (Jay) SW Representative - Kelly Martin (Lawton MacArthur) Paul Graves (Altus) Charla secure: Children’s Choirs - Lisa Cullison Ethnic & Multicultural Choirs Junior High & middle School - Randa Tracy secure: Male Choirs Show Choirs Darin secure: Two-Year College choirs Youth & Student Activities 2009 Convention - July 20-22, 2009 at FBC, OKC - Board Meeting will be Monday morning (convention Monday afternoon through Wednesday Noon) Howard Helvey (Calvary Episcopal, Cincinnati) Church/Community Convention Choir (Mark) Activity based on Missouri state convention choir with 4 from each church in attendance. The group will work 9-10 hours over 2 day session. Reduced literature and rehearsal times. Participants must know music! No time to learn notes. Applications available. He will also present a session Tuesday in the evening. Other points of interest will be a Church/Community reading session with Howard Helvey, a session with Bruce Greer will lead “Creative Process: or “Blended Worship” session Monday evening a short keyboard recital will be presented |
