OCDA Board meeting
July 20, 2009

The meeting was brought to order by Charla Dedmon.  Those present were: Brent Ballweg, JoAnn Struck, Ramona Cummings, Tracy Watson, Ginger Meyer, Barbara Myers, Darin Chapin,  Carisa Schreiner, Kelly Martin, Casey Cantwell, Kim Childs, Doris Lambert, Randa Mitchell, Mark Powell, Wes Singleton, Becky Martin,  Tony Gonzalez, Mark Lucas, Nancy Murray, and John Gerber

Treasurer’s Report:

Ramona Cummings reported that there was $39,891.30 currently in the OCDA accounts.  She estimated that the convention expenses would be $10,000.00

Each board member introduced themselves and new members were welcomed.

Brent Ballweg discussed last minute details concerning the convention.

Director of Distinction Award Criteria:

Brent Ballweg and the board compiled qualifying criteria at the April board meeting:

1.  Active in choral music in Oklahoma for a minimum of 15 years
2.  Consistent and current ACDA/OCDA membership and active participation
3.  Consistently maintains high performance and literature standards
4.  Provides outstanding leadership in choral music and has earned the respect and admiration of colleagues and students alike.
5.  A record of service to ACDA/OCDA through offices held, committee work, etc.

SELECTION PARTICULARS
1.  Selection committee of current OCDA presidents (Vice-President chairs) plus two Directors of Distinction
2.  Nominations should be sent to OCDA Vice-President via mail or email.  Nomination guidelines can be found in the Sooner Style or online at the OCDA website.
3.  Deadline for nominations will be March 1 of every year
4.  Nominees cannot be a current termed (will eventually rotate off) OCDA Board member
5.  Nominations for qualified candidates are automatically carried forward by the selection committee for two subsequent years, and thereafter may be resubmitted for future consideration
6.  Award may not be presented if no nominee meets criteria
7.  Selection committee presents to entire OCDA Board for confirmation
8.  Award will be presented at the annual OCDA convention


Wes Singleton made a motion to accept these criteria to be used in selecting future Directors of Distinction.  Mark Powell seconded the motion and the motion carried.  These criteria will be presented at the business meeting at the convention and made available on the OCDA web site.

Proposed change in clinician honorariums from $500/day to $600/day.  Barbara Myers made a motion to increase the clinician fees to $600/day to match the ACDA fee schedule for clinicians.  Doris Lambert seconded the motion and the motion carried.

Revisit Convention registration fee.

Brent Ballweg noted that when compared to many other states, Oklahoma’s registration fee is quite low and suggested it be raised (current fee is $55).  After much discussion, Doris Lambert made a motion to change the pre-registration fee from $55 to $60 and on-site registration from $70 to $75.  Kelly Martin seconded the motion and the motion carried.

Mileage Reimbursement Structure

Two ideas were presented for reimbursement of mileage for attending OCDA Board meetings.  First was the IRS allocation whose current rate is 50.05 cents per mile.  The second was a new mileage schedule adopted by OSSAA:
1-25 miles $5.00
26-50  miles $10.00
51-75 miles $20.00
76-100 miles $25.00
over100 miles repeat as above scale as needed

Kelly Martin made a motion to accept the current rate IRS allocation at the time of the board meeting.  Tracy Watson seconded the motion.  The motion did not carry

After more discussion Kelly Martin made a motion to adopt the mileage schedule of OSSAA as our own and pay mileage for the spring and fall board meetings.  Brent Ballweg seconded the motion and the motion carried.

Quad Audition Site Budget Limitation:

It was decided that a committee consisting of Charla Dedmon, Ramona Cummings, and the honor choir chairpersons would meet and set a budget for quad audition sites.

Honor Choir CD Production

It was confirmed the Kevin Zinn would continue to produce the cds for OMEA Mixed and Women’s choir and the OCDA Mixed and Women’s choir.  David Hillis will continue to produce the Jazz choir cds.

Web Master

Brent Ballweg is continuing to look for someone to be the OCDA webmaster.  Any suggestions should be sent to him or Charla Dedmon.

OMEA commissioned piece
It was discussed that it was a long standing agreement with OMEA and OCDA for OCDA to provide a commissioned piece for OMEA’s mixed choir every other year using some of OCDA’s proceeds from the rehearsal CD sales.

The commissioned piece will be reinstated for 2011.  With the new OMEA honor choir structure including a women’s choir, OMEA will be allowed to choose which choir will use the commissioned piece.

JH Mixed Choir:  Nancy Simpson Murray reported that all was going well for the mixed choir.  Nancy is updating and refining the entry forms and rules and regulations to bring them up to date. 

It was suggested that the entry form be made into a fill-in form online to make the entries easier to read.

JH Treble Choir:  Kelly Martin reported that all was going well for the women’s choir

HS Jazz Choir:  Tony Gonzalez reported that all was going well for the Jazz Choir
