OCDA BOARD MEETING
October 15, 2009
Oklahoma City University


Members Present: Charla Dedmon, Becky Martin, Darin Chapin, Julie Hester, Lisa
Cullison, Mark Powell, Brent Ballweg, Ramona Cummings, Rebecca Lindley, Darla
Eshelman, John Gerber, Doris Lambert, Ginger Meyer, Nancy Murray

I. The meeting was called to order by Charla Dedmon.

II. A motion was made by Doris Lambert and seconded by Ramona Cummings to accept the minutes from the last board meeting. The motion carried.

III. Committee Reports


Treasurer’s Report - Ramona Cummings presented the treasurer’s report: present balance is $20,799.75

Sooner Style –
- Sooner Style editor John Gerber and webmaster Brent Ballweg brought before the Board evidence that going on-line was now the way to communicate and present information. Considering the cost of paper and publishing, delays in receiving and dispensing articles, and delays in mailout it was decided to immediately discontinue print production of a newsletter and to relay all news and information via the OCDA website at www.okcda.org.  As the days progress, the website will continue to adapt and change it's appearance in order to adequately present information necessary to effectively communicate to the OCDA constituency. Any suggestions regarding the website should be sent to the webmaster.
- Articles and other information should be sent to John Gerber and Brent Ballweg by November 15 until the issue of going green can be further discussed.
- Brent Ballweg presented the OCDA web page; he encouraged everyone to join the ACDA facebook page where Charla and others can leave messages for the entire board, membership, etc.

All-State Junior High
- Nancy Murray reported that: Southern Hills Baptist Church (8601 S. Penn) has agreed to host auditions; presently there are 1,820 students auditioning; the following SA totals were noted:
Quad 1 (NW) S1-58 / S2-104 / A1-89 / A2-73
Quad 2 (NE) S1-78 / S2-144 / A1-123 / A2-100
Quad 3 (SW) S1-71 / S2-122 / A1-102 / A2-66
Quad 4 (SE) S1-74 / S2-78 / A1-87 / A2-52

- A discussion followed: Lisa Cullison asked about doing a percentage of each quad rather than top numbers; Nancy Murray suggested the present methods still draws out the top singers
- Darin Chapin asked what we can do to hang on to our second site; we keep having to move because of physical damage to the site; OCDA generally pays a fee to use a site which includes the church maintenance fee, however, sites still do not want to host again; Lisa Cullison noted that almost all teachers are auditioning, therefore mostly parents are monitoring; it was suggested that security guards be hired to assist in this process

All-State High School Jazz –
Darin Chapin reported for Tony Gonzales and stated that all is going well.

R & S Reports:
All-Collegiate Chorus
– The date is set for March 27, 2010 at First Baptist
Church, OKC. The report was sent to Charla by Kim Childs.


Children’s Chorus – Lisa Cullison reported the festival date as April 17, 2010 at Edmond North High School PAC. An Oklahoma clinician has been chosen each year, and this year will be Darla Eshelman. All registration information is on the OCDA website.

Community – Doris Lambert stated she will focus on what community choirs exist and is submitting a call for a list of existing groups.

Women’s – Julie Hester reported all is well with the Women’s choir activities and processes.

IV. Unfinished Business

2009 summer convention
-
- It was noted that several members have taken advantage of the “two for one” registration fee
- Charla Dedmon thanked everyone for their hard work and contributions at the convention.

R & S Chair Assignments – Darla Eshelman reported that Ralph Duncan has agreed to serve as R & S chair for male choirs, and Becky Martin for show choirs.

Honor Choir Rotation –2010 All-OCDA Honor Choir Festival 2010

Summer Convention

The following things were noted and discussed regarding next summer’s convention:
- Headliners will include Timothy Seelig and Cheryl Lavender
- Reading sessions: the question was raised as to whether we should continue to read through the OMEA music even though cd’s are available; scheduling 1 hour for each session was suggested; Charla encouraged everyone to include Oklahoma composers in their reading
session selections Discussion will continue in January.

- OCDA will commission a piece for the 2011 women’s choir; Wes Singleton will discuss with the OMEA board

New Business
- Brent Ballweg lead a discussion regarding convention vendors
- Charla Dedmon reported that elections will be held on line through ACDA in late February. The following offices will be voted on:
Southeastern Rep – Rhonda Maynard, Darin Chapin, Mark Monteniex
Northwestern Rep-Marita Reichenberger, Paula Kiner

- R & S Chairs are appointed, and the following names and terms were noted:
Boys Choir – Casey Cantwell is in first term
High School – Mindy Bettridge will be contacted
Collegeiate – Kim Childs is in first term
Women’s Choir – Julie Hester is in first term
Community – Doris Lambert is in first term
Jazz & Show – Tony Gonzales is in first term
Music & Worship –

- Mark Powell suggested a possible new site for all-state rehearsals and (U.S. Postal Training Center in Norman)
- Future board meeting dates:
January 15, 2010 - Cox Convention Center, 2:00pm
March 27, 2010 – First Baptist Church OKC, 12:00 noon
July 11, 2010 – OU (convention site)

A motion to adjourn was made by Julie Hester and seconded by Lisa Cullison.
