MINUTES
1. Darla Eshelman, OCDA president, called the meeting to order at 1:30 p.m. Members present were: Darla Eshelman, Connie Coleman, Lisa Cullison, Ramona Cummings, Charla Dedmon, Ralph Duncan, Boyd Fees, Jeanne Lucas, Paula Kiner, Doris Lambert, Rebecca Lindley, Rhonda Maynard, Ginger Meyer and Leah Nellis.
2. Reading and Approval of July 12, 2011 board meeting minutes.
Corrections to Minutes:
6. m. Strike Ralph Duncan, insert Leah Nellis - Advertise the Circle the State more at the summer convention and earlier so elementary teachers may choose to attend. Motion made by Charla Dedmon, seconded by Paula Kriner. Motion passed with no opposition.
3. Ramona Cummings, treasurer, reported that there is $63,345.80 in the OCDA account with a couple more deposits to be made, and then bills paid. Ramona also reported that we have already been audited and we passed. Doris Lambert made the motion to accept the treasurer’s report; Ginger Meyer seconded. Motion passed with no opposition.
4. Board Meeting Dates

Sat., March 10, 2012 First Christian Church Edmond, 1:00 pm
Sun., July 8, 2012 University of Oklahoma, 5:00pm
Tues., July 10, 2012 University of Oklahoma, following last convention session
Darla mentioned that the March 10 meeting is the most important meeting to attend. Then plan to attend the All-Collegiate concert at 3:30pm at First Christian Church, Edmond.
5. Website Update
5.1 Darla gave out forms to the Board Members for information and a picture to be put on the website by Brent Ballweg.
5.2 Brent will no longer be webmaster on July 1, 2012. Suggestions for new webmaster are:
Mark Monteith, Lone Grove and Michael Stephens, Anadarko. Darla will contact these.
5.3 ChoralNet concerns: Difficult to manage, edit, load pictures, navigate. Boyd Fees cautioned about certain domains cost per additions. Darla will talk to the two above mentioned possible webmasters about these concerns. Leah suggested I Google.
6. All-OCDA Festival
6.1 Report by Lisa Cullison
6.1.1.1 Quad Auditions, Sat, October 29, at quad sites
6.1.1.2 Second round, Tues, November 15 at Southern Hills Baptist Church, OKC
6.1.1.3 1906 entries; 170 schools for JH Mixed Chorus auditions
6.1.1.4 516 - NW; 560 - NE; 421 - SW; 409 - SE
6.1.1.5 Lisa would like to see about evening out the quads.
6.1.2.1 Festival Schedule, January 12-14, 2012
6.1.2.2 Lisa said that the chairs have visited about stopping the Friday rehearsals at 4:00 pm, break for dinner, come back at 8:00 pm, rehearse for an additional 1 hour or 1 ½ hours. The quad chairs and Tony agreed. Ramona mentioned it would be good to have the instruments rehearse at the 8:00 session.
6.1.2.3 Correction to July, 2011 minutes: Change wording to “voted down” having a DJ and room at the January Convention on Friday night for the students.
6.1.3 Concert program information. Tony does the program about two weeks prior.
6.1.4.1 Lisa brought up issues with the teachers incorrectly filling out audition forms.
6.1.4.2 Lisa suggested paying mileage for teachers to schedule auditions times on Saturday in October. Paula made the motion; Ralph seconded. Motion passed with no opposition.
6.2. Jazz Chorus: Darla reported is good to go; according to Tony.
6.3 Junior High Mixed: Lisa Cullison reported that Henry Leck, clinician, has not sent a contract to Ramona; everything else is good.
6.4 Junior High Treble: Rebecca Lindley reported that Nancy Lippens has not sent a contract to Ramona.
6.5 2013-14 Festival Coordinators:

6.6 Future Clinicians:
6.6.1 Confirmed Keith Hampton, clinician for Mixed

6.7 Other Festival Business
6.7.1 Audition CD issues: Ramona reported that some teachers in the NW Quad are not buying the CDs, but downloading them. Boyd suggested that royalty be paid or set a fee. Ramona also suggested that the audition form state “must buy CDs needed”. Also to print on the CD “For the sole purpose of auditions for OCDA/OMEA and for the school.” Ramona asked if she could hire her attorney to investigage legal ramifications of the audition Cds. Doris made this motion; Charla seconded. Membership passed with no opposition.
6.7.2 Charla asked to get a discount if the entire set is bought.
6.7.3 Kevin needs the commissioned piece earlier. Ramona made the motion that, in the future, the commissioned piece will be given to Kevin Zinn by October 15. Charla seconded the motion. Membership approved with no opposition.
7. Repertoire & Standards Chair Reports
7.1 Music in Worship: Boyd reported that he was not pleased with the music presented at the summer convention. Instead, he will have worship leaders bring music to share in the session.
7.2 College & University: Kim Child reported that the All-Collegiate Conference is read. Friday, Feb. 3 deadline is on the website.
7.3 Two-Year Colleges: Mary Susan Whaley, absent, had no report.
7.4 Community Choirs: Doris Lambert had no report
7.5 Senior High: Bill Perring, absent, had no report
7.6 Women’s Chorus: Julie Hester, absent, invited the Board to the Jenks Women’s Choir Concert as the OMEA Honor Choir.
7.7 Show Choirs: Becky Martin, absent, had no report
7.8 Vocal Jazz: Tony Gonzales, absent, had no report
7.9 Middle School & Junior High: Jeanne Lucas had no report
7.10 Children’s Choirs: Leah Nellis reported that some choirs are children’s, but many are middle school choirs. The Festival is for choirs instead of being a contest. The Festival is also open to Children’s Community Choirs. Elementary choirs are finding it difficult to afford the entry fee. Ramona suggested charging a smaller choir fee instead of per student fee and drop the t-shirt. Darla mentioned in the past, that their PAC allowed them to “pass the hat” to cover the clinician costs. It was mentioned to have a Clinician’s Clinic, with a 20 minute slot of time with the clinician. She reported that the PAC has May 5 open. Steve Curtis is a possible clinician. Darla will get with Leah about this. There could also be two pieces that are performed at the end of the clinic.
7.11 Male Choirs: Ralph Duncan had no report.
8. Region Representative Reports
8.1 Northeast: Ginger Meyer reported that the NCDA Concert is Nov. 1 with Charles Robinson, conductor
8.2 Northwest: Paula Kriner reported that their concert is Nov. 22 at Elk City. Clinicians are Marilyn Meyers, Casey Gerber and Paula Kriner
8.3 Southeast: Rhonda Maynard reported that their concert is Nov. 19 at Durant
8.4 Southwest: Kelly Martin, absent. Concert was the previous Monday at Lawton with Justin Ediger and James Vernon, clinicians.
8.5 Membership Certificates. ACDA have 10 free membership certificates to give out to each region representative as door prizes/incentives. Two will be given away at the summer convention.
9. Board Member Elections/Appointments
9.1 Nominating Committee (President-Elect & Regional Reps) need to appointed by March.

10.1.4 Elementary session: Leah Nellis - “Circle the State” at the summer convention with “How to make a Children’s Choir tape”. Jeanne Lucas also suggested having someone do a session on making an ACDA audition tape (MP3); suggested Tony Gonzales.
10.1.5 Middle School/Junior High - Jeanne said that Terry Bonham and Mark Lucas could be clinicians.

12. New Business
12.1 OCDA Booth at OMEA
12.2 Collegiate ACDA Memberships: $5 membership for college students. The application is on the website. OCDA will pay the remainder of the fee.
12.13 Other: Board members should bring prizes for the convention (2 prizes per board member); give them to Darla.
13. Announcements: Boyd Fees suggested have the Board Meetings at the ACDA building. The October, 2012 meeting could be there instead.
14. Ralph made the motion to adjourn the meeting at 3:27 p.m.; Charla Dedmon seconded the motion. The membership approved the motion with no opposition.
